Washington, DC — Multi‑Day Conference — 1,000 Attendees

About The American College of Financial Services

Founded in 1927, The American College of Financial Services is the nation’s largest nonprofit financial education institution, serving professionals across the financial services industry. Their annual conference convenes executives, advisors, scholars, and industry leaders for education, networking, and community building.

Project Background

After several years without an in‑person gathering, the College sought to relaunch its signature multi‑day conference in Washington, DC with renewed energy and elevated production value. They engaged Andrew Roby Events to reimagine the experience, improve attendee engagement, and create high‑impact signature moments.

The event included:

  • Multi‑day programming
  • General sessions + breakouts
  • Networking lounges
  • Major social events
  • A high-profile all‑white party featuring celebrity entertainment

Event Goals

  • Reintroduce the conference with a fresh, modern identity
  • Increase attendee engagement in both networking and educational sessions
  • Create memorable, premium experiences throughout the event
  • Seamlessly coordinate complex programming, talent, vendors, and AV
  • Optimize the flow of 1,000 attendees through multiple spaces and formats

Our Approach

1. Strategic Program Design

We restructured the multi‑day schedule to create balance: learning, connection, and celebration. ARE:

  • Developed a master program flow for all sessions and activations
  • Coordinated with speakers, talent, production crews, and internal leadership
  • Built a logistics plan for attendee movement between large sessions and intimate discussions

The result was a more energizing, intuitive progression each day.

2. Immersive Networking Environment

One of the College’s top priorities was deeper engagement. To support this, we designed a home‑inspired Networking Lounge — a warm, comfortable, visually cohesive space that encouraged relaxed conversation and connection.

The installation included:

  • Custom furnishings
  • Branded visual elements
  • Lounge‑style seating zones
  • Soft lighting and textured design cues

This became one of the most‑talked‑about elements of the conference.

3. Signature All‑White Party Production

The annual social celebration needed to feel elevated and unforgettable. ARE delivered a full‑scale transformation:

  • Designed the space for a white‑on‑white immersive experience
  • Installed a custom white dance floor featuring the conference logo
  • Coordinated celebrity entertainment by Doug E. Fresh
  • Managed AV, lighting, staging, and specialty elements
  • Ensured seamless transitions from dinner to party to late‑night programming

The evening became a defining moment of the conference.

4. End‑to‑End Production & Logistics Oversight

ARE managed:

  • Vendor coordination
  • AV integration
  • Stage design and general session support
  • Breakout room management
  • Transportation considerations
  • Daily leadership briefings
  • Run‑of‑show execution
  • Budget optimization

We delivered high-touch support so the College’s internal team could focus solely on content and attendees.
